How-to Run Working Group Calls

Instructions for group managers.

1. Let Participants Know When We'll Begin in a Message

Suggest that the meeting officially begins the agenda items starting 3 minutes after the start time. This will allow a few folks to drop in who may be wrapping up a separate call while setting expectations for those who do join on time.

Encourage banter while waiting.

A period of introductions will allow some additional time for others to join.

2. Run Through Agenda

• it is not required for participants to speak or turn on their cameras if they do not feel comfortable
• add additional guidelines and best practices to this guide as we identify them

2.1 Take Notes

These can just be added to a comment while the meeting is ongoing.

• it is not necessary to record every quote or topic
• a few highlights is all that is necessary, especially if a decision is reached
• guests should also be encouraged to add their own notes or follow-ups to the discussion

3. Add Recording Link

If the session has been set up as public and to record, include a follow-up comment with a link to the recording. This may take a bit of time to process before it becomes available.
